AI in Higher Education: A practical guide.

Each month will focus on a department and/or role and provide practical applications, tips, and more.

This month's focus: Administrative Assistants & Department Managers

Quick Tips

  • Start small: Begin with repetitive tasks like scheduling or email drafting.
  • Review outputs regularly: AI can make mistakes—verify data and communications.
  • Involve your team: Gather feedback to improve workflows and catch issues early.
  • Set boundaries: Use AI to assist, not replace, human judgment—especially in sensitive areas.

Practical Uses

Calendar Coordination
Auto-schedule meetings across departments, easily find availability, create agendas for meetings, etc.

Document Summarization
Summarize reports or transcripts for quick decision-making.

Survey Analysis
Analyze survey responses, summarize results, and highlight trends.

Financial and Vendor Tracking
Track expenses, flag delays, summarize all payments to a vendor, vendor trends and cost monitoring and more.

Be the Shield: Using AI Safely

Stay aligned with Wheaton College policies and higher ed standards:

  • Use AIT-approved platforms—ensure AIT has reviewed any AI tools BEFORE you integrate them into Wheaton systems.
  • Enable Multi-Factor Authentication (MFA) on all AI-integrated accounts.
  • Ensure FERPA compliance when handling student data. DO NOT share sensitive information on any AI platform.
