Brief Description.
Materials relating to the responsibilities of the Field Director of Associate Crusades. An associate crusade was any crusade other than one led by Billy Graham. Some of these responsibilities included investigating the possibility of carrying on a crusade in various communities, appointing an associate (director) for setting up the crusade and training local counselors, scheduling crusade music teams, communicating with the associate evangelists, etc. These records were sent to the Archives by the BGEA Atlanta office. There are restrictions on the use of this collection

Historical Background

The Field Director's responsibilities, according to a BGEA Policies and Procedures Manual, ca. 1972, "encompassed the investigation, cultivation, preparation, and consummation of United Crusades for the Associate Evangelists. This involves supervising and scheduling associate crusades, field personnel, implementation of BGEA policies and procedures for united crusades, communications with associate evangelists and securing evangelistic teams." Associate evangelist was the title given to evangelists other than Graham himself who worked for the BGEA. The Field Director also scheduled single church meetings for the evangelists although, as with the crusades, he did this only after the Office Manager of the Team Office in Atlanta had authorized him to investigate the possibility of a meeting. After the Field Director had investigated the possibility of a crusade in a community and approved a time for it, in consultation with the evangelist involved, he assigned a crusade associate (later known as coordinator) from the BGEA staff to act as consultant and motivator for the crusade committees set up by local volunteers. The associate also taught training classes for the people who had volunteered to be counselors at the crusades. The Field Director was also responsible for securing and filing insurance affidavits and incorporation papers; making sure the customary telegrams were sent to the local crusade executive committee marking the opening of the crusade office, the starting of the counseling class, and the opening of the crusade; instructing local personnel in their committee duties; and scheduling crusade music teams and special guests.

Until 1964, Robert Ferm, with the title of Team Coordinator and based in Minneapolis, performed basically those functions of the position of Field Director, which was created in 1964 when the Team Office was opened in Atlanta; the position was first held by John Dillon. In 1972, Sterling Huston took over John Dillon's responsibilities with the slightly different title of Director of Associate Crusades. In 1973, Huston was placed in charge of all crusades in the United States and Dillon returned to serve as Director of Associate Crusades. Around 1988, when Dillon had stepped back from overseeing these crusades, Ralph Bell and John Wesley White were the only remaining active associate evangelists, and Franklin Graham had not yet begun holding his crusades. Those responsibilities were redistributed to other BGEA staff. During its half-century of ministry, the BGEA had various offices in the United States. The Team office in Atlanta was closed in 1976, with these functions being returned to the Minneapolis office.

Scope and Content

[NOTE: In the Scope & Content section, the notation "folder 2-5" means box 2, folder 5.]

The materials in this collection relate to all aspects of the BGEA's method of setting up a crusade, from the preliminary investigation to decide if a meeting would be worthwhile to the wrapping up of the last details months after the end of the crusade itself. While the cross reference list contains many of the evangelistic meetings documented in the collection, there are many other meetings, especially those for which files are contained in boxes 61 through 77, which do not have a corresponding subject heading.

Types of records included in this collection are correspondence between the various departments of the BGEA, minutes of the executive and other committees set up for most crusades, forms used for every phase of crusade activities, financial reports and auditors' reports. Some files contain more general analyses of the means and ends of crusades. For example, the 1968 correspondence file for Tedd Smith (folder 4-68) contains an evaluation of what the attitudes and abilities of the musicians should be which were hired by the Association; the 1968 correspondence file for Ralph Williams has a letter which describes the kind of men who should do crusade set-up work; and the reports file for the 1967 Lane Adams Central Jersey Crusade (folder 12-11) contains an essay written by a non-member of the Association describing from his point of view how a crusade begins, achieves momentum, and ends.

Another interesting set of records are the audio tapes of the September 1969 meeting in Minneapolis, Minnesota, of many of the crusade planners, directors, and associates, such as John Corts, Sterling Huston, John Dillon, John Wesley White, and many others. At these meetings, the men and women involved discussed their common problems in finance, publicity, scheduling, budgeting, relations with the local community, and other crusade activities. They also talked about the response they had received to specific BGEA posters, form letters, etc. These meetings were held at the same time as the United States Congress on Evangelism, also held in Minneapolis. During those meetings, John Dillon gave a history of the evolution of the associate crusade procedure.

Notes on organization of the collection: The order of the files within each series in this collection has been maintained as the records were received from the Billy Graham Evangelistic Association. Duplicates and extraneous material were removed from the collection at the request of the BGEA and discarded.

Arrangement: Boxes 7 through 10 are arranged chronologically according to the date of each meeting and then alphabetically. The crusades in Boxes 49 through 57 are arranged alphabetically state and then by town; the Virgin Islands are included among the states. The files in Boxes 61 through 63 (for crusades 1975 through 1979) are arranged by year and within each year alphabetically by state. Each annual subseries for 1975-1978 begins with correspondence files arranged by associate evangelist, and ends with international crusades. The 1979 subseries is much more substantial than those preceding or following it, is also arranged by state, and concludes with a single church meetings subseries and international crusades. Correspondents: The most frequent correspondents are Don Bailey and John Dillon; also George Wilson, other BGEA staff, crusade coordinators, and the associate evangelists.
Notes: These are the files of the major meetings the Field Director worked on. Boxes 49 through 57 contain files dealing with invitations for evangelistic meetings in smaller communities. While some are from 1966 to 1968, most are from 1969 to 1984. There are a few folders dealing with meetings led by Robert Cunville, Leighton Ford, Roy Gustafson, Akbar Haqq, Howard Jones, and Gil Stricklin and also those of several non-BGEA evangelists; however, most of the files are for Lane Adams, Ralph Bell, John Wesley White, and Grady Wilson, and deal with meetings in single churches as well as those that were community-wide. A subseries of single church meetings, arranged by year, comprise boxes 73, 74, 75 and 77. Some files deal only with invitations, while many others document an actual crusade. Folder level description is available for boxes 7 through 10, while only box level descriptions are provided for boxes 49 and above. For most crusades a coordinator was assigned to work with community church leaders in preparing the crusade; those which predominate are Lewis Blanchard, Joe Gillespi, Grover Maughon (working exclusively with Grady Wilson), and Daniel Southern. There is overlap between this series and the following series arranged by evangelist.
Exceptional items: Boxes 56 and 57 contain information on invitations and crusades in Australia, Canada (arranged alphabetically by province and city), Hong Kong, India, Indonesia, Ireland, Malaysia, the Philippines, South Africa, and Zimbabwe. Of special interest are the files in Box 57 concerning an invitation to Graham in the mid-70s to hold a crusade in Montreal and plans for evangelistic outreach during the 1976 Olympics in Montreal. Folder 61-15 records Ralph Bell's ministry at the federal prison in Leavenworth, Kansas. Folder 61-56 documents Howard Jones participation in the National Black Evangelical Association's 1976 meeting, while folder 74-39 covers Jones' 1982 Africa Tour. While many meetings are documented in one or two folders, a number of crusades in 1979 are more substantially documented (See Container List). The 1980 Jamaica crusade using many of the associate evangelists is the most substantially documented of the international crusades (folders 75-22 through 34); Ralph Bell's earlier Kingston Crusade in 1973 is also documented (folders 33-50 through 34-3, and folder 75-21). The international meetings include evangelistic meetings and crusades led by John Wesley White, Grady Wilson, Howard Jones, Akbar Haqq, Ralph Bell, and several of Billy Graham's crusades in which associate evangelists also participated (1975 Hong Kong, 1975 Taiwan, 1973 Korea, 1972 visit to Northern Ireland, 1977 Sweden, 1974 Rio De Janeiro).

Type of documents: The files for each crusade usually contain sections on correspondence, crusade bulletins, finance/budget, form letters, lists, sample material, statistics, schedules, billing, and shipping receipts, as well as newspaper clippings.

Notes: These are the files of the major meetings the Field Director worked on grouped according to the evangelist who preached. This is the largest series of the collection, much of it described with folder titles in the Container List; Folder level description for boxes through 48; boxes 64 through 73 are described only to the box level. The evangelists represented include Lane Adams, Ralph Bell, Joe Blinco, Wesley Boyd, Irv Chambers, Lee Fisher, Leighton Ford, Roy Gustafson, Akbar Haqq (largely for crusades in India or conferences related to ministry in India and Asia), Howard Jones, John Wesley White, Grady Wilson; among these the files of Bell, Haqq, White and Wilson are the most substantial. As with the previous series, for most crusades a coordinator was assigned to work with community church leaders in preparing the crusade; those working with Ralph Bell were Joe Gillespi, Dan Southern and Lewis Blanchard; Walter Grist worked as Akbar Haqq's assistant; Lewis Blanchard, John Dillon, Joe Gillespi, Grover Maughon, and Dan Southern assisted John Wesley White; and Grover Maughon coordinated Grady Wilson's crusades. There is overlap between this series and the previous series arranged by meeting. While many meetings are documented in a single folder (Akbar Haqq's files are almost entirely like this), the post-1980 crusades by Ralph Bell, John Wesley White and Grady Wilson are more substantially documented. Within each of these, there tend to be a standard set of files ( Budget/ finance, Correspondence, Form letters, Incorporation/insurance/policies, Lists, Misc./hotel, Orders/shipping, Reports, Samples, Schedules, Statistics).
Exceptional items: Akbar Haqq's files include his message for the April 28, 1985, Hour of Decision radio broadcast. One irregularity in the collection is a series of files labeled as the 1981 Ralph Bell Campbellton (New Brunswick) Crusade, but which in fact are for the 1981 Howard Jones Restigouche Crusade, which occurred in Campbellton; Bell was designated as the initial evangelist but had to withdraw and was replaced by Jones.

Of these, the files for Gustafson and Wilson consist of more than the minimum record keeping, including biographical sketches, detailed reports on various trips (for Gustafson these included his 1982 trip to Papua New Guinea, the 1982 trip to Borneo, a 1983 voyage on Operation Mobilization's ship Doulos, the 1983 trip to Southeast Asia, and the 1984 trip to Africa), schedules, and speaking engagements.

Type of documents: Crusade Press/Radio/TV Manual (prepared around 1962 for reports covering crusades) contains biographies and photographs of Team members, statistics of past crusades, a glossary of frequently used terms, and sample news stories. Crusade Guidance Portfolios were given to local crusade committees to help explain most of the important crusade committees (along with form letters to use) such as visitation, music, choir, Operation Andrew, finance, etc. Several other crusade manuals in notebook form were created "to assist [crusade] committees in their preparation for evangelistic crusades," including policies and procedures, and a few generic forms or samples for launching the crusade (articles of incorporation, by-laws, tax exemption applications, budget creation, etc.)

Notes: Consists of photographs and negatives. Crusades documented are largely associate evangelist crusades (although they include several Billy Graham Crusades), primarily in the United States, and are often one image of crusade committee members.
